Form export incl. Excel file, PDF and media data

The export function under Tools → Export forms lets you download your saved form data in bulk – for further processing, archiving or transfer to other systems.

The export is provided as a ZIP file and always contains an Excel table with all form data listed row by row, plus all generated email attachments (PDF and/or Word). Optionally, media files (photos, drawings, audio recordings) can also be included.

After clicking the export button, the ZIP file is created – refresh the page until the file appears in the list. A download link is also sent by email (can only be accessed when logged in).

Export settings

Date interval: Defines the time period for the export.

Form for export: Select the form template on which the forms to be exported are based.

State: Defines the folder from which to export (In work, Inbox, Assigned, Sent, Removed).

Transposed: Only available if the form contains exactly one table. When activated, the table entries are exported row by row alongside the other fields in the Excel file – useful for example for order lists to be imported into other systems. Example: transposed table

With media files: Determines whether photos, drawings and audio recordings are included in the export.

CSV retrieval for external systems

Once the export settings (period, template, status) are defined, an individual link is generated automatically. External systems can use this link – secured with an integrated access token – to retrieve form data directly as CSV (UTF-8, separator: comma).

Tip – Automated saving: Via the integration settings in the form template, an automatic SFTP or Google Drive connection can be set up. Data is then saved on your server or in Google Drive directly after a form is sent – no manual export needed. More here: SFTP connection | Google Drive connection
