Interfaces for data export and import
Formtastic offers several ways to export form data, process it further or transfer it to external systems. There is also an import function to create pre-filled forms from Excel.
1. Export as PDF or Word
When a form is sent, an email with the completed form as a PDF and/or Word attachment is automatically sent to the stored recipients – in your individual corporate design. Alternatively, the PDF can also be downloaded directly in the web interface without sending it by email.

2. Webhooks
Webhooks let you push form data to external systems in near real time – such as CRM, ERP or automation tools like Make or Power Automate. Whenever a form changes status (saved, sent or assigned), Formtastic automatically sends the data as JSON to a URL of your choice.

3. SFTP/FTP connection
PDFs and Word files can be automatically saved on your FTP or SFTP server directly after sending. In addition, a continuously updated XLSX file with all current form data per folder can be set up – no more manual filing from email.

4. Google Drive & Sheets
PDFs and Word files are automatically saved to your linked Google Drive account after sending. All form data per folder is also continuously synchronised into a Google Sheet – ready for quick further processing within your team.

5. Bundled data export (ZIP with Excel, PDF and media files)
This function lets you export form data as a ZIP file containing: an Excel table with all form data listed row by row, all generated PDF and Word files, and optionally all media files (photos, drawings, audio recordings).

6. Encrypted retrieval as CSV (for external systems)
To connect external systems to Formtastic directly, form data can be retrieved as CSV via an individually generated URL with an integrated access token.

7. Form data import via Excel
Data from Excel can be imported into Formtastic in bulk – each row of the Excel table becomes a pre-filled form in the inbox. This makes it easy to prepare customer orders or address data and assign them directly to team members.
